Cost & scope
Confirm the building’s move window
Contact the property manager or association for both the origin and destination. Ask which days and hours moves are permitted, how far ahead reservations must be made, whether weekend moves are allowed, and what happens if the crew arrives late or the move exceeds its reserved window. Also ask about deposits, application forms, protective materials, security check-in and after-hours access. Get the rules in writing and provide the same information to every mover quoting the job. A mover cannot plan accurately if the building schedule or access conditions are missing.
Reserve elevators and loading areas
Determine whether the building requires a freight elevator, elevator padding or an attendant. Reserve the elevator for enough time to cover loading or unloading, not merely the crew’s arrival. Confirm where the truck may stand, how far that area is from the elevator and whether another resident can reserve the same facilities simultaneously. Give the mover the floor number, elevator reservation period, loading-area dimensions, gate or garage clearance, check-in location and any long carry between the truck and unit. These details help the company select an appropriate crew and equipment plan without turning this checklist into a substitute for a written estimate.
Verify insurance requirements and measurements
Ask management whether it requires a certificate of insurance and, if so, request the exact holder, additional-insured and coverage wording. Send those instructions to prospective movers before booking and ask whether they can provide compliant documentation by the building’s deadline. Do not assume a generic insurance certificate will satisfy the association. Measure the unit doors, hallway turns, elevator doors and interior elevator dimensions. Compare those measurements with sofas, bed frames, appliances and other large pieces. Identify items that may require disassembly, special handling or an alternate route, and disclose stairs or narrow passages at both addresses.
Plan lawful parking and Tampa travel
Confirm parking with building management and follow posted restrictions. Do not plan to block a sidewalk, traffic lane, fire access point, neighboring driveway or public entrance. If public-space permissions may be needed, ask the appropriate property or local authority rather than assuming the building can authorize street use. Build in travel flexibility. Tampa is within FDOT District Seven, where state-road construction and traffic conditions can affect regional moves: https://www.fdot.gov/agencyresources/districts/d7. If routing could use the Selmon Expressway, ask how electronic tolls and truck routing are handled: https://floridasturnpike.com/tolls/toll-roads/selmon-expressway/. For moves during Atlantic hurricane season, June 1 through November 30, agree on weather-related communication, postponement, cancellation and storage terms before moving day.
